Payment

For standard direct bookings, a valid credit card is required at the time of booking to guarantee the reservation; the card is not charged immediately. The full reservation balance, including applicable taxes, is charged at 12:00 a.m. local time two calendar days before the arrival date (for example, for a Friday arrival the card is charged at midnight at the start of Wednesday). If payment cannot be processed, the Inn may contact the guest for updated payment information. Reservations are not guaranteed until valid payment information is provided and payment is successfully processed according to the applicable policy.

Cancellation Policy

Standard direct bookings may be canceled without charge until 12:00 a.m. local time two calendar days before the arrival date. At that deadline, the full reservation balance, including applicable taxes, will be charged and becomes non-refundable. Cancellations made after the deadline and no-shows are non-refundable.

Events, Groups & Whole-Property Bookings

Event-space reservations, private gatherings, retreats, classes, weddings, group programs, and whole-property bookings are governed by a separate written event agreement. Guestroom reservations alone do not reserve event space and do not include event planning, private use of common areas, setup, coordination, catering assistance, or other event services.

An event is not confirmed, and event space will not be held, until the required event agreement has been signed and the initial booking and planning retainer has been received. Planning and coordination services begin only after the required retainer has been paid.

Small Events Under $1,000

A nonrefundable retainer equal to 50% of the event charges is due when the event agreement is signed. The remaining balance is due no later than seven days before the event.

Larger Events From $1,000 to $2,999

A nonrefundable retainer equal to 25% of the event charges is due when the event agreement is signed. An additional 25% is due 60 days before the event, and the remaining balance is due no later than 14 days before the event.

Weddings and Complex Events of $3,000 or More

A nonrefundable retainer equal to 25% of the event charges is due when the event agreement is signed. An additional 25% is due six months before the event, another 25% is due three months before the event, and the final balance is due no later than 30 days before the event.

Events Booked Near the Event Date

When an event is booked after one or more payment deadlines have already passed, all amounts that would otherwise have been due must be paid when the agreement is signed.

Missed Payments

If a required payment is not received by its stated deadline, the Inn may cancel the event, release the event space, and discontinue planning, setup, coordination, and other event services. Existing guestroom reservations remain governed by their separate lodging terms unless the written event agreement states otherwise. Overnight guests may continue to use the Inn as normal lodging guests, but may not conduct an organized event, private class, reception, group meal, or exclusive gathering in the Inn’s common areas without a confirmed event reservation.

Custom Terms

Payment schedules may vary depending on the event’s size, complexity, booking date, lodging arrangements, and services requested. Any alternate terms must be approved by The Inn at Foster Falls in writing and included in the signed event agreement.

Arrival and Departure

The Inn at Foster Falls is a self-service boutique inn with limited on-site staffing. Check-in and check-out details will be provided with the reservation confirmation or pre-arrival instructions. Early check-in and late check-out are subject to availability and must be approved in advance.

Self-Service Access & After-Hours Assistance

The Inn may use self-check-in instructions, lockboxes, key cards, digital access, or other arrival procedures. Guests are responsible for following the check-in and access instructions provided before arrival and for keeping their room key/key card with them during their stay.

The $25 lockout assistance fee and $75 after-hours dispatch fee apply only when assistance is needed because of guest error — for example, losing a room key card, locking oneself out, failing to keep the room key/key card on hand during the stay, or not following the access instructions provided before arrival.

These fees do not apply when the problem is not the guest’s fault. You will not be charged a lockout or after-hours dispatch fee when access trouble is caused by faulty equipment, a malfunctioning lock, a system or access issue, an error in instructions provided by the Inn, or anything otherwise within the Inn’s control. These fees also do not apply to true emergencies involving guest safety, security, fire, medical concerns, or law enforcement. Guests should call 911 for emergencies.

Guest Responsibility

Guests are responsible for providing accurate contact information, following property rules, respecting other guests and the property, and reporting any issues promptly during their stay. Guests may be responsible for damage, missing items, excessive cleaning, or other costs caused during their stay.

Room key cards must be returned to the key drop box at check-out. If a room key card is not returned, a $35 missing key card replacement fee may apply. Guests may receive park passes for use during their stay; any unused park passes should be returned with the room key card at check-out. Park passes are provided only for use during the guest’s registered stay.

Bicycles and Bicycle Storage

The Inn at Foster Falls warmly welcomes cyclists visiting the New River Trail. An outdoor bicycle rack is available for guests to secure their bicycles using their own locks.

Because the Inn is a carefully restored historic property dating to 1887, bicycles may not be brought into guest rooms, hallways, common areas, or other indoor spaces. This policy helps us protect the floors, walls, woodwork, furnishings, and other historic features of the building for future generations.

At this time, the Inn does not have enclosed, covered, or monitored bicycle storage. Bicycles secured at the outdoor rack remain the responsibility of their owners. Guests traveling with high-value bicycles or touring equipment should consider the current storage arrangements when planning their stay.

We understand how important secure and weather-protected storage is to cyclists, particularly those traveling with valuable bicycles and equipment. We are actively investigating options with the property owner to improve bicycle storage at the Inn, including the possibility of creating a covered or more secure storage area on the grounds.

For e-bikes, the bicycle itself must remain outdoors. Removable batteries may be brought inside only while the guest is awake and attending them, and they must be charged using the manufacturer-approved charger. Batteries may not be charged unattended or overnight.

Taxes and Fees

Applicable lodging taxes are added to the reservation total shown at booking. The Inn does not charge a mandatory resort fee or cleaning fee for standard room reservations. Optional purchases, add-ons, special services, guest-caused lockout assistance, guest-caused after-hours dispatch, damages, missing items, or excessive cleaning may be charged separately when applicable.
